Bedrock Desktop unique feature meets the challenges faced by fee earners working outside of the office; including in prisons, police stations and at court. Details of attendances can be captured in bespoke Bedrock forms, which mirror standard pro-forma attendance notes used by most firms. This can be done whether the user is online or offline.

The offline capability negates the problems of weak or non-existent Wi-Fi signals in prisons, police stations, court, hospitals etc. Initial details of attendances can be saved to the Bedrock Desktop module in the same way as if using a standard document on your device. Return to the saved attendance note to add additional details before uploading.
Productivity is maximised as completed attendance notes are uploaded directly to the main online case management system, removing the need for re-keying details of attendances from paper or MS Word attendance notes into the matters on the central database.
Police Station, Magistrates Court and Court Duty files can be created directly on the case management system from information captured and uploaded from Bedrock Desktop. Matters already created will be updated from the Bedrock Desktop attendance notes, including bespoke forms for Family law (including integrated FAS time recording module) and Mental Health areas of law.
Offline Matter Management
Being unable to create or update matters when you do not have an internet connection can result in duplication and, therefore, wasted time. We understand the issues that come with not having an active internet connection when managing clients and matters.
Bedrock allows you to store information in bespoke attendance notes when you do not have an internet connection, and then to sync that information with the matters when you are online.
For example: when attending in court, you can capture standard information such as your client’s details, matter information, your time recording and matter notes in Bedrock Desktop module. You can also come back to these anytime and amend or update as needed.
When you are able to reconnect to the internet, you can upload any stored content; which will update client and matter information. Cut out the duplication of noting the information in one format and re-entering it into the case management system later. Write once. Upload once.

Relevant documents can also be saved directly into the Desktop attendance note; so custody records, prepared statements, IDPC, legal aid forms and more can all be easily saved directly into Bedrock Desktop within the attendance note to which they relate. These will be added directly to the matter electronic file when the attendance note is uploaded. This feature saves a lot of administrative time for the organisation.
Information added to the matters from Bedrock Desktop integrates with the Bedrock document templates, resulting in seamless creation of client care letters and outcome letters following attendances; saving valuable fee earner time as a result of the streamlined workflow.
Details captured in the Desktop form will automatically populate a MS Word attendance note document which is saved to the matter electronic file. Time and expenses information will automatically be added to the matter time ledger and finance ledger. Details of future attendances will be added directly to the Bedrock Calendar; copied to individual Outlook calendars and also any relevant shared calendars used by the firm.
Matter tasks are also created automatically; including tasks which automate the process of following up bail attendances and police station matters where the outcome was released under investigation from the initial attendance. Bedrock’s automated chasing feature will send an email to the OIC of a police station matter 7 days before the bail attendance or on RUI matters on a date selected by the fee earner at the time of uploading the attendance note.
Separately to the integration with the client’s electronic matter file, the details from the Bedrock Desktop attendance notes will also automatically populate the Bedrock Expenses Manager; from which the reimbursement of fee earner expenses can be managed. In addition, it automatically populates the Out of Hours Manager – a list of police station or court attendances undertaken outside of normal office hours, for which firms’ usually separately remunerate their fee earners.
The Bedrock Desktop maximises fee earner time and efficiency, eliminates the costs of administratively re-keying information from attendance notes into the central database and accelerates the process of updating the case management system as a result of the direct processing of information captured within the attendance notes which are uploaded.
